Common Allotment Process was an attempt to make a simple allotment system which can be implemented with in a stand alone or network environment. It works with fantastic GUI developed with VISUAL BASIC. The secure version of database is the back born of this simple application. Efforts are made to make the validations in data entry, which keeps the system error free. The program can be upgraded to a web oriented one by adding features for client-server architecture

INPUT DESIGN

Input design is the process of converting user oriented input into a computer based format. The data flow diagram indicates logical data flows, data stores source and destination. Input data are collected and organized into a group of numbered data. Once identified appropriate input data media are selected for processing.

The goal of input design is to make data entry as easy and free from errors as much as possible. Proper data validation checking is exercised to correct the mistakes made during data entry

DATABASE DESIGN

During the database design phase of system design, the analyst selects the storage, which is best suited for storing the systems data. Database files are the key source of information in the system. The process of designing database files which are the key source of information to the system, database should be properly designed and planned for collection, accumulation, editing and retrieving the required information. Without a common database to share the information, data must be recreated and reinterpreted to every stage of the process. Organizing and storing the information in a common database can avoid such duplicated effort.
The objectives of the database design are to provide effective auxiliary storage and to contribute to the overall efficiency of the computer program components of the system.

The basic functions involved in a database system related to the information required by its user's are:
§ Defining the data
§ Inputting the data
§ Locating the data
§ Accessing the data
§ Communication the data
§ Revising the data
